Privacy Policy
Insight Planning ("we", "us") respects your privacy. This policy explains what personal information we collect through this website, why we collect it, who handles it for us, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the provincial privacy laws that apply to us, including British Columbia's Personal Information Protection Act.
Who Is Responsible
Our Privacy Officer is responsible for this policy and for how we handle personal information. You can reach the Privacy Officer at info@insightplanning.com or (778) 488-5577.
What We Collect
Information you give us. Your name, email address, phone number, and anything you choose to tell us when you email us, call us or book a meeting.
Booking details. When you book a meeting, our scheduling provider collects your name, email address, the time you chose, and your answers to any booking questions.
The fit check. The questions on our Request an Introduction page are answered in your browser. Your answers and contact details are sent to us only when you press the send button at the end. When you do, they are emailed to the Insight Planning team and kept in our email records. We use Vercel (website hosting), Brevo (which delivers messages sent through our website forms) and Microsoft 365 (our email) to do this. If you do not press the button, nothing is sent.
Information collected automatically. Like most websites, this one records:
- The pages you view, and the date and time
- The website that referred you, including whether you arrived from a search engine or an AI assistant
- Your approximate location, taken from your IP address
- Your device and browser type
- Your IP address, in our hosting provider's server logs, for security and reliability
We do not ask for account numbers, social insurance numbers or other sensitive financial details through this website. Please do not send them to us by email.
If You Are a Client
This policy covers the website. The information we collect to open and service client accounts is handled under the agreements and privacy notices you receive when you become a client, and under the regulatory requirements that apply to us.
Why We Collect It
- To respond to your questions and requests
- To schedule and hold meetings
- To send information you asked for
- To understand how the website is used and improve it
- To keep the website secure
- To meet legal and regulatory requirements
We do not sell personal information, and we do not use it for third-party advertising.
Consent and Email
By giving us your information, you consent to our using it for the purposes above. You can withdraw that consent at any time by contacting us, subject to legal limits.
We send commercial email only with your consent, as Canada's anti-spam legislation requires, and every such email includes a way to unsubscribe.
We previously offered an email newsletter and no longer send it. If you subscribed, your email address stays on that list, held by our email provider, until you unsubscribe or ask us to remove it.
Who Handles Information for Us
We use a small number of service providers to run this website and our communications:
- Google, for website analytics and fonts
- Calendly, for scheduling meetings
- Kit, which holds our email list
- Vercel, which hosts this website
- Brevo, which delivers messages sent through our website forms
- Microsoft, which provides our email
These providers may only use the information to provide their services to us. Some of them store or process information outside Canada, including in the United States. Information held there is subject to the laws of that country and may be available to its courts and law enforcement.
This website links to other sites, including the client account portal and our social media pages. Those sites are run by others and have their own privacy policies.
AI Tools
We use AI tools to help us prepare for meetings, take meeting notes and organize our work. When we do, personal information may be processed by the companies that provide those tools, on the same terms as the service providers described above. We use enterprise-grade versions with data-protection controls, including environments set not to use our information to train AI models. Safeguards vary by tool. Our people review what these tools produce, and our advisors, not AI, are responsible for the advice we give. See How We Use AI.
Cookies and Analytics
We use Google Analytics to understand how visitors use this website. It sets cookies that tell one visit from another. We do not use advertising cookies.
You can block or delete cookies in your browser settings, and the website will still work. Google also offers a browser add-on to opt out of Google Analytics.
How Long We Keep It
We keep personal information only as long as we need it for the purpose it was collected for, or as long as the law requires. After that we delete it or make it anonymous.
Safeguards
We maintain appropriate administrative, technical and physical safeguards to protect personal information from loss, misuse and unauthorized access. No method of sending information over the internet is completely secure.
Your Rights
You can ask us:
- What personal information we hold about you
- To correct information that is wrong or out of date
- To stop using your information or to delete it, where the law allows
